How to add an exam schedule to your iPhone calendar

Move an exam timetable into Apple Calendar on iPhone or Mac using an .ics file. Includes the fastest tap-to-import route and how to check for wrong venues.

The short version

Convert the exam timetable to an .ics file, send it to yourself, then tap the attachment on your iPhone. iOS opens Calendar and offers to add every event at once.

This is the same mechanism schools use when they publish a downloadable exam calendar. There is nothing to install and no account to create.

Step 1: convert the timetable

Paste the exam schedule text or upload the PDF and let it extract each exam: course code, date, start time, duration, and room.

Review the extracted rows before exporting. Exam schedules are dense, and a table with three columns — date, time, room — is exactly where column misalignment produces a wrong hall.

Step 2: move the file to your phone

Email the .ics to yourself and open the attachment in Mail, or drop it into iCloud Drive and tap it in Files. Either route hands the file to iOS, which recognises the calendar type automatically.

If you use a Mac, double-clicking the file adds the events to Calendar, and they sync to your iPhone through iCloud.

Step 3: choose the right calendar and check the alerts

iOS asks which calendar to add the events to. Pick a separate one for exams so you can hide the whole set when the term ends.

Exam events default to no alert unless the file includes one. Add a 1-day and a 2-hour alert for each exam so you have time to travel to the venue.

Why venues go wrong

Most exam-schedule parsing errors come from merged cells and multi-line rooms, where the room name sits on the line after the time.

If a room looks like a repeat of the previous exam, treat it as suspicious and check the source PDF. A wrong building discovered on the morning of an exam is the expensive kind of mistake.

FAQ

Can I import an .ics file on iPhone without a computer?
Yes. If you can receive the file in Mail, Files, or any app that shares files, tapping it hands it to Calendar.
Will imported exams sync to my iPad and Mac?
Yes, as long as the calendar you imported into is synced with iCloud and the other devices use the same Apple ID.
Does this work with Google Calendar on iPhone?
The .ics file works, but Google Calendar's iOS app has no import option. Import on the web version instead and let it sync down.
