How to add a syllabus to Google Calendar (without typing 40 events)
Turn a course syllabus into Google Calendar events in a few minutes. Convert the PDF or text to an .ics file, review the dates, then import once.
Why manual entry fails
A typical syllabus contains 25 to 60 schedulable items: weekly lectures, lab sessions, quizzes, paper deadlines, and a final exam. Typing them by hand takes most people the better part of an hour, and the mistakes are subtle — a lab that meets on Thursday instead of Tuesday, a deadline at 23:59 instead of noon.
The faster path is to let a tool read the syllabus, produce a standard calendar file, and then let you correct the handful of items the parser got wrong before anything reaches your calendar.
Step 1: get the syllabus into text form
If you have a PDF, you do not need to retype it. Paste the file directly into a converter — the text layer is extracted first, then parsed for dates.
Scanned PDFs are the exception: if the file is a photo of a printed page, there is no text layer to read, so copy the schedule table by hand or use a PDF with selectable text.
Step 2: convert to an .ics file
An .ics file (iCalendar) is the format Google Calendar, Apple Calendar, and Outlook all understand. Converting the syllabus to .ics is what lets you import everything in one action instead of creating events one by one.
Before exporting, check three things: the year on every date, the weekday of recurring classes, and whether a recurring class ends at the end of term or continues forever. Those three errors cause most of the cleanup people end up doing afterwards.
Step 3: import into Google Calendar
On the web version of Google Calendar, open Settings, choose Import & export, then Import. Select your .ics file, pick the destination calendar, and confirm. Google will report how many events were added.
Import into a dedicated calendar such as “Fall 2026 — Courses” rather than your main calendar. If something goes wrong you can delete that calendar in one click instead of hunting individual events.
Step 4: verify the recurring rules
Open the first lecture of each recurring series and confirm it repeats weekly until the correct end date. A weekly class that runs 14 weeks should show 14 instances, not an unlimited series.
If your school uses a rotating timetable (Week A / Week B), the rule is every two weeks, not every week. Getting that wrong doubles your classes for the whole term.
FAQ
- Can Google Calendar import a PDF directly?
- No. Google Calendar only imports .ics (iCalendar) and .csv files with specific columns. A PDF syllabus has to be converted to .ics first.
- Will importing the same syllabus twice create duplicates?
- Usually yes, because the second import creates new events unless the unique identifiers match the existing ones. Import into a fresh calendar if you need to start over.
- Does this work for university timetables that use week numbers?
- Yes, if the week numbers resolve to real dates. A converter needs the term start date to turn “Week 3 Tuesday” into an actual calendar date.
